Privacy notice

Short version: two forms and a paper card collect a name and a way to reach you. Event texts and insurance contact are separate permissions you tick separately. Nothing is sold, and nothing goes to the bars. You can have it all deleted by sending one email.

Who is responsible

The Cauldron Crawl is organised by the participating downtown Lakeland venues and sponsored by Nymble Insurance LLC, an independent insurance agency in Tampa, Florida (FL License #L131669, NPN 21626709). Nymble Insurance handles the information collected through this site and through the Incantation Cards. Information you give for an insurance quote is additionally handled under the agency’s own privacy practices as a financial institution.

What is collected, and where

The RSVP form

First name, how many people are in your group, whether you are coming, your mobile number, and your email address if you give one. Two optional checkboxes record whether you want event text reminders and whether you want Nymble to contact you about insurance. If you arrived through a venue’s QR code, a hidden field records which venue, so the bars can see which of them brought people in.

The quote form

First and last name, mobile number, email address, ZIP code, which lines of coverage you want priced, and your renewal month if you know it. A consent checkbox records that you asked to be contacted.

The paper Incantation Card

Your name and phone number so a winner can be reached, plus email address and the coverage checkboxes if you fill in the quote panel on the back.

Analytics

This site uses Plausible Analytics, which is cookieless and does not collect or store personal information, does not track you across sites, and does not build a profile of you. It records page views, which sections are used, and whether a form was submitted and which checkboxes were ticked — as counts, not tied to you. There are no advertising or tracking cookies on this site, and no third-party ad networks.

Technical logs

The site is hosted on Cloudflare, which keeps standard server logs including IP address, browser type and time of request for security and abuse prevention. Form submissions record the time and the country the request came from.

What it is used for

Event information you asked for, a headcount for the bars, running the prize drawing, and — only if you ticked that box — preparing and discussing an insurance quote. Nothing else.

Texts, calls and the two separate boxes

The event box and the insurance box are different permissions and are recorded separately. Ticking neither means no texts and no calls.

  • Event texts. Roughly three messages, all in the week of the crawl, then it stops. Nothing about insurance.
  • Insurance contact. Nymble Insurance LLC may call, text or email you about quotes at the number and address you gave, including by automated dialling system or prerecorded message. Consent is not a condition of purchase and is never required to enter or win the drawing.

Message and data rates may apply. Message frequency varies. Reply STOP to any text to stop them and HELP for help, or call the number below. Mobile carriers are not liable for delayed or undelivered messages.

Who it is shared with

Insurance carriers and their underwriting and rating systems, but only when you have asked for a quote and only as far as producing that quote requires. Service providers who run parts of this site — the host, the analytics provider and whatever handles form submissions — under their own terms. Anyone we are legally required to give it to.

Your contact details are not shared with the participating bars, the prize donors, or any other business named on this site. Nothing is sold, and nothing goes to lead aggregators, data brokers or third-party marketers. Nymble does not sell or share personal information for cross-context behavioural advertising.

The prize drawing

Entering needs a name and a phone number so a winner can be reached. A quote request is never required to enter. A finished card is one entry; filling in the sponsor panel on the back raises that to two entries in total. A separate free bonus entry needs no quote and no contact permission — record yourself saying the incantation, post it to the event page and show the post at Molly’s — so nobody has to trade a phone number for better odds. Winners may be named on the event’s social accounts; if you would rather not be, say so when you are contacted.

How long it is kept

Event RSVP and text-reminder details are kept through the event and then removed unless you also asked for insurance contact. Quote requests are kept as part of the agency’s business records, which insurance agencies are required to retain for a period set by Florida law and by carrier agreements.

After the night, the paper Incantation Cards are collected by the event founder and the details written on them are typed into a spreadsheet so the drawing can be run. Entries are fed into an online random-number generator on Monday 5 October, a video of the draw is posted to the event page, and the winner is emailed. Quote panels filled in on the back are passed to Nymble Insurance.

Security

The site is served over HTTPS with a content security policy and standard protective headers. No payment details, Social Security numbers, driver’s licence numbers or policy numbers are collected anywhere on this site or on the Incantation Card. No system is perfectly secure, and information sent over the internet is sent at your own risk.

Your choices

You can ask for a copy of what is held about you, ask for it to be corrected, ask for it to be deleted, opt out of texts, calls or email, and withdraw a consent you gave earlier. These are offered to everyone who asks, whatever state you live in and whether or not a privacy law entitles you to them. Asking costs nothing and there is no penalty for it.

Withdrawing insurance consent does not cancel a prize entry you already made.

Removing your information

Email [email protected] or call (813) 699-3665 and ask. Say which number or email address to look for. Requests are actioned as quickly as reasonably possible; anything the agency is legally required to retain will be explained to you rather than quietly kept.

Other things worth stating

  • This event and this site are for people 21 and over. Nothing here is directed at children and no information is knowingly collected from anyone under 21.
  • This site honours Global Privacy Control and Do Not Track signals to the extent it collects anything they apply to, which is very little — there is no advertising tracking here to switch off.
  • Information is stored and processed in the United States.
  • If this notice changes, the date at the top changes with it.
